Lightspeed - Cloudbeds X Series Integration

  • How to sign up for lightspeed?

    • Please contact your lightspeed account manager or email sales@datastems.com and we will get you started.

  • How to connect lightspeed with Cloudbeds for the first time?

    1. Login to your Cloudbeds Account and click on the Account icon in the top right.

    2. Select Apps and Marketplace and search for the "Lightspeed X" app, select Learn More, and then click on Connect App.

    3. Review the required permissions and authorize the integration.

  • Specific functionality of the integration.

    • We support the following functions:
    • Room charges from lightspeed retail to Cloudbeds guest folios.
    • Revenue posting from lightspeed retail to Cloudbeds including check level details
    • Split payment charges from lightspeed retail to Cloudbeds guest folios.

  • What are the limitations of the integration?

    • Requires an Ipad or Web Browser

  • How to disconnect the apps?

    • Contact your lightspeed account manager or email support@datastems.com and request a disconnect for your account.
    • You can also visit Disconnect app to see how to disconnect it from Cloudbeds.
  • How do I create a payment method in lightspeed to use for Cloudbeds room charges?
    1. Login to Lightspeed and Select Settings and Payment Types and Click the Add payment type button
      Select lightspeed settings and payment type.
    2. Select Other Payment Method and click Begin setup
      Select Other Payment Method and then Begin setup.
    3. Enter the url supplied to you by our Data Stems team in the Gateway field and click Save payment type.
      Enter the url you were given in the Gateway field.

      Thats it!

  • How to post a room charge?

    1. Create a sale and press the Pay button.
      Create a sale and select pay.
    2. Set the Amount to pay and click on Cloudbeds button
      Set the amount and click the cloudbeds button.
    3. Enter Room number OR Last name and press the Search button

    4. Select the guest by name who you would like to charge

  • How to Split Payments

    1. Set the amount you want to pay.
      Set the amount to pay in lightspeed.
    2. Search for Guest by Room Number or Guest Name.

    3. The payment has posted to Cloud Beds

    4. Close the outstanding balance by another payment method

    5. Both payments will be detailed on the receipt

    1. Do you support full revenue sync (house account charges) or only room charges?
      1. We support both. You can request how you would like it setup at the time of implementation and switch it anytime.
    2. Are the house accounts automatically created?
      1. They are manually created in Cloudbeds. We pull the information via API and show them in our mapping tool.
    3. How often are the house charges updated?
      1. You can choose how often you would like the charges synced. Select every 5 min, 10 minutes, 15 minutes, or once per day.
    4. How often are house room charges updated in Cloudbeds?
      1. They are updated in real time; however, the guest must be checked in order to complete the room charge. 
    5. Do you support different tax reporting?
      1. We support Tax included or Tax excluded posting to Cloudbeds
